Position Requirements

5 years of related experience is desired.  A bachelor degree is desired.  Experience managing events and brides.

Position Description

Day-of Responsibilities (responsibilities during an event)

* Event management and coordination

o Review function sheet and become familiar with all event details

o Prioritize to-do list for event set up and delegate responsibilities to staff for setup event, event service and clean up

o Greet client and respond to their needs throughout the evening

o Orchestrate & execute event including guest arrival, building setup, rehearsal, ceremony, dinner service and cake cut

o Coordinate vendor arrival and execution including correct placement of all planned items and timeline

o Work with client, staff and kitchen to ensure successful events

o Ensures accurate guest count, service and bar reconciliation for final billing

o Summarize event in detail notes after the event for future referenc


Pre-event (applies to busy season, usually April-October)

* Deliver quality events and meet expectations of clients’ needs

o Communicate with client frequently

o Scheduling

* Conduct venue tours

* Schedule and conduct Detail Meetings 6-8 weeks prior to an event

* Weddings/Events

* Ensure all details of the event, including those of the vendor and clients are coordinated to client expectation and efficient event flow

* Update event information on an ongoing basis


Administrative Responsibilities

o Answer phone call, emails and voicemails during business hours.

o Mange client files

* Create new contracts and client files

* Update event information as needed

* Review final files each week leading up to an event

* Finalize guest count and payment with clients

* Update final billing after events

o Schedule servers for event needs and manage serve staff

o Train servers & bartenders in all aspects of job including excellent customer service

o Meet weekly for operations meetings

o Provide an atmosphere that allows growth and excellence for employees which cultivates excellent customer service

o Coordinate all event orders (excluding kitchen and food items)

o Track alcohol and linen inventory weekly

o Place all bar and linen orders weekly

o Assist and update the Chef with maintenance, building, equipment and grounds needs to ensure excellent care for property and assets

o Ensure all event amenities are in good repair for events and stored properly

o Work with management team to price and coordinate new and replacement event and amenities purchases that allow for the continued growth in the quality of service Millcreek Inn provides

o Work with vendors to maintain and build a trusting business relationship
