Job Overview

As an Accounts Payable Specialist, you will process accounts payable invoices and Payments, while ensuring adherence to guidelines, controls, and policies around A/P processes. You will leverage your strong interpersonal skills to maintain good working relationships with field personnel. Since you will provide support to the month-end close processes within the accounting team, you must be apt at managing multiple tasks and willing to take on new tasks.

Duties and Responsibilities

• Maintains all accounts payable files to include filing invoices in designated areas and updating vendor information on the company database.
• Assist with reconciling Fixed Assets.
• Process remittance information from checks, drafts, and wire transfers for invoices provided by vendors, reviewing instructions accompanying items to determine proper disposition and crediting accounts following standard procedures.
• Matches purchase orders with vendor invoices to assure accuracy and prepare for computer entry daily.
• Prepares and mails all accounts payable checks according to company procedures and includes supporting documentation.
• Audit vendor files (and setup) to ensure info is up to date.
• Ensures all vendors have W-9 on file.
• Prints all accounts payable reports.
• Monitors all paperwork, invoices, correspondence, and verbal communication with vendors.
• Performs end-of-month procedures as required including some account reconciliations.
• Researches and response to all Account payable inquiries in a prompt manner.
• Prepares and mails 1099s annually.
• Perform other duties and responsibilities as assigned.

Job Requirements

Your qualifications include:
• You have an Associate Degree or have taken some accounting courses, with 2-3 years of relevant experience in the Hospitality industry.
• You have a solid understanding of accounting principles.
• You should have an understanding of sales/use tax policies.
• You have Excellent written and verbal communication skills.
• You have strong computer skills including Microsoft Office and Excel skills and proven skills in working with automated accounting systems and other technologies.
• If you are knowledgeable about accounting, banking, and reconciliations systems, this is a plus.
• Your analytical, problem-solving, and organizational skills are exceptional.
• Must be able to maintain the confidentiality of information.
