Job Overview

Essential Functions:

  • Solicit banquet and catering business through sales calls and marketing initiatives (75%) and coordinates all planning details of social, wedding, and business meetings (25%)
  • Works closely during turnover process with event services manager upon completion of contracting
  • Act as a liaison between operational staff and guests
  • Coordinate with the banquet department to maximize use of available function space
  • Prepare and distribute relevant banquet event orders ten days in advance
  • Identify potential clients and coordinate with marketing and sales
  • Complete guest correspondence including contracts, confirmations, thank you letters and inquiries in an efficient and timely manner
  • Oversee the preparation and distribution of daily function summaries, ten-day functions summaries, change orders, cancellation orders, and revised banquet event orders.
  • Work closely with sales and reservations team on wedding room block management
  • Merchandise catering menus and provide technical support to clients
  • Maintain filing, tracing and client details
  • Produce monthly lost business report
  • Consult with necessary food and beverage operational staff to provide special menus and services
  • Strengthen networking relationships with other local properties and businesses
  • Report guest comments to the food and beverage director
  • Obtain guarantees within 48 hours of all coordinated functions
  • Maintain accurate records of billing and deposit information
  • Monitor the presentation and service of coordinated functions and ensure introduction of the client to the operational management and staff
  • Achieve and exceed required standards of customer service
  • Attends all relevant functions ensuring all details are correct and the clients has received an introduction to the operational supervisor
  • Knowledge of Food & Beverage service, seating, and table arrangements, lighting and audio/visual equipment
  • Knowledge of the physical requirements and operational restrictions of the Stein Eriksen Lodge as they relate to functions
  • Controls and analyzes quality levels of products and service related to function
