TITLE: Tour Coordinator / Convention Services Coordinator

REPORTS TO:  Director of Catering & Convention Services

DEPARTMENT: Convention Services

 

SUMMARY:  Coordinator of tour groups, entertainment/band, and

other miscellaneous groups as assigned by the Director of Catering & Convention Services.  Will work directly with group contact from the time files are assigned through their departure.  Additional duties include administrative support for Convention Services Managers.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

(Include the following, but are not limited to)

 

*Review and interpret group contracts to clearly understand hotel’s commitments and group plans

*Ensure that any space is blocked appropriately and does not conflict (bus arrivals, parking, group meal reservations, meeting rooms)

*Communicate group needs to pertinent departments through emails, personal contact,

attend internal meetings)

*Create and distribute group resumes for assigned groups and assist Convention

Managers with creation and distribution of their group convention resumes.

*Knowledgeable with Opera to assist with creating or editing Banquet Event Orders for convention groups

*Arrange for meal reservations and create meal vouchers for in-house restaurant(s)

*Determine and coordinate any special needs of groups, such as Security, In-Room Dining orders/amenities, additional Housekeeping needs/services, porterage or luggage storage

*Greet groups upon arrival and provide site tours, as needed

*Review group invoice to ensure accuracy

*Cross-train to assist as back-up in Catering Administrative Assistant’s absence

 

QUALIFICATIONS & EXPERIENCE:

*College degree in related field preferred

*Minimum of two years of event coordination or related experience in a hotel setting

 

Schedule: Monday-Friday Full time, plus weekends and holidays as dictated by business

Wage:  negotiable hourly rate
